Medi-Cal Provider Portal: October Directory Updates for California Practices

Oct 9
2 min read

California Medi-Cal fee-for-service practices have an October administrative task that is easy to overlook: reviewing and updating their provider directory information. DHCS requires enrolled providers to review this information quarterly in January, April, July and October. For billing providers, the work happens in the Medi-Cal Provider Portal.

What is the October requirement?

The California Department of Health Care Services (DHCS) requires Medi-Cal fee-for-service provider directory information to be reviewed and updated at least quarterly. The October review is part of an ongoing requirement that took effect in July 2025, not a new October 2026 portal launch or a universal loss-of-access announcement.

What information should practices verify?

Review the provider's office phone number, website if available, whether new Medi-Cal and CHIP patients are accepted, languages and interpretation capabilities, physical accessibility accommodations, and whether covered services are offered through telehealth. Confirm the information is accurate for the enrolled provider and practice.

Who can make changes in the portal?

DHCS directs actively enrolled fee-for-service billing providers to update directory information in the Medi-Cal Provider Portal. After logging in, navigate to Manage Organization and select Public Fee-for-Service Provider Directory. Only Organization Administrators and NPI Administrators can make these updates, so practices should verify that the responsible staff member has the appropriate role before the October review.

What about non-billing providers?

DHCS provides a separate Provider Directory Survey for actively enrolled individual fee-for-service providers who render services but do not submit claims directly, including certain ordering, referring and providing practitioners. Do not assume every provider uses the same portal workflow. DHCS also notes that PAVE is not where these additional directory fields are collected.

Five checks for your billing or credentialing team

1. Identify the practice's active Medi-Cal fee-for-service billing providers and the staff member responsible for directory updates.

2. Confirm that the designated administrator can sign in and reach the Public Fee-for-Service Provider Directory section.

3. Review contact information, acceptance status, languages, accessibility and telehealth details against current practice operations.

4. Determine whether any enrolled non-billing clinicians should use the separate DHCS survey instead.

5. Document the review date, corrections made and any access problems requiring follow-up. Repeat the process during the next quarterly review month.

Does an outdated directory entry automatically mean claim denial?

The directory-update guidance establishes a reporting and maintenance obligation, but it should not be interpreted as saying that every outdated field automatically causes a claim denial. Enrollment status, claim requirements and payer-specific edits are separate issues. Practices should correct inaccurate directory data promptly without overstating the immediate reimbursement consequences.
